She: Did you know that Dr.......... was in the office last Friday? Me: She was? She: Yes, and it
was to meet with one of her private clients.

Me: And how did you find this out?

She: I was driving by and saw the lights on.

Me: Really! What time was that?

She: Around 1:00 PM.

Me: You were able to see the office lights were on at 1:00 PM?

She: Yes, and so I went up to the door and saw her in the conference room with her client. It's against policy to meet with private clients in the office without prior written approval.

Me: How did you know it was a private client?

She: Bud told me.

Me: How did Bud know?

She: I told him I saw them and he said the guy was a private client and this wasn't the first time. And meeting with private clients is against policy.

Me: Without written approval.

She: Yes.

Me: She had written approval. From me.

She: I didn't know. If I'd known......

Me: I'd like to meet with you tomorrow morning to discuss this further. Around 10:00 be alright?

She: Sure. Should I tell Bud to join us?

Me: I'll speak with Bud myself.

She: I thought you should know.

Me: I understand that. Then tomorrow at 10:00 it is.

She: Okay.

1. And that is why I avoid office gossip like the plague.
Some past coworkers have considered me standoffish or snobby or bitchy because I wouldn't take part, but I've also never been caught in a situation like the one you describe.

It's always fun until somebody gets called in by HR....
